Why didn't Klipy join my meeting?

If Klipy’s notetaker didn’t appear, it usually wasn’t admitted from the waiting room or auto-join was off. Here’s how to check both and fix it.

When Klipy’s notetaker doesn’t show up in a meeting, it’s almost always one of two things: the bot was left waiting in the lobby, or auto-join was turned off in Settings.

The two most common causes

1. The notetaker wasn’t admitted from the waiting room

Klipy joins meetings as a named participant (typically “Klipy Notetaker”). On Zoom, Google Meet, and Microsoft Teams, the host must admit participants from the waiting room before they can join the call.

If you started the meeting and didn’t see an admission prompt, the notetaker may have appeared and timed out waiting to be let in.

Fix: Admit the Klipy notetaker from your meeting service’s waiting room or participant list at the start of each meeting where you want notes.

2. Auto-join was turned off in Settings

Klipy’s auto-join setting is on by default, but it may have been disabled manually.

1. Open Settings

   Click your avatar or initials in the top-right corner and select Settings.

2. Go to Notetaker

   Click Notetaker in the left sidebar.

3. Enable auto-join

   Toggle Automatically join meetings back on.

With auto-join enabled, Klipy will join every calendar event that has a video conference link — Zoom, Google Meet, or Microsoft Teams.

Other things to check

Was the calendar event created before you connected Klipy?

Klipy routes the notetaker based on calendar events it can see. If a meeting was scheduled before you connected your calendar to Klipy, or if it was booked on a calendar you haven’t connected, Klipy may not know about it. Check Settings → Integrations to confirm your calendar is connected.

Is your meeting service supported?

Klipy’s notetaker works with Zoom, Google Meet, and Microsoft Teams. Other platforms (e.g. Webex, GoTo Meeting) are not currently supported.

Did the meeting start significantly later than scheduled?

Klipy attempts to join at the meeting’s scheduled start time. If the meeting started very late and the bot timed out in the waiting room, it may have dropped. Admitting it manually as soon as you start the call prevents this.

Was the meeting marked as private or confidential?

If a calendar event is marked private, Klipy may not be able to read the video conference link and won’t attempt to join.

For internal meetings: excluding specific calls

If you don’t want Klipy to join certain meetings (e.g. internal team calls or 1-on-1s), you can exclude them in Settings → Notetaker by filtering by meeting title keyword or participant domain.
